What do you need to discuss with the VA?
In crisis? Call 988, press 1 — any time.
Who to ask for
Doctor won't listen or care feels dismissive
Ask for: VA Patient Advocate
Every VA medical center has one. Their job is to resolve patient complaints.
Long wait for an appointment or a long drive
Ask for: Community Care Coordinator
You may qualify to see a civilian doctor the VA pays for (MISSION Act wait and drive-time standards).
Appointments or prescription refills
Ask for: Your PACT team nurse
Your own care team can act faster than the main call center.
Gas or travel pay for appointments
Ask for: Beneficiary Travel Office
They handle mileage and travel reimbursement.
Claim or paperwork is stuck
Ask for: An accredited VSO or County Veterans Service Officer
They can look at your claim file and help for free.
Phone calls
Starting any call
Say: “Before we start, can I get your first name and your agent ID so I can note this call?”
Getting bounced around
Say: “Who has the authority to fix this? Please transfer me directly to that office, and give me their number in case we get cut off.”
Ending a call
Say: “Can you repeat what you're going to do and when I should hear back?”
Doctor visits
Asking for Community Care
Say: “This appointment is outside the VA wait-time standard. I'd like a Community Care referral to a civilian provider.”
A test or referral is refused
Say: “Understood. Please document in my medical notes that I asked for this test or referral and the medical reason it's being declined today.”
Feeling rushed
Say: “I have two more concerns I need to cover today. Can we go over them now or schedule a follow-up before I leave?”
C&P exams
Describing symptoms
Instead of: “I'm doing alright today.”
Say: “On my worst days, this stops me from working, lifting, or driving. Today is a better day, but it flares up about X times a month.”
Explaining impact
Say: “Here's how this affects my work, sleep and family life...”
Resolving disagreements
Unhappy with a decision
Say: “I'd like to know my review options: Supplemental Claim, Higher-Level Review, or Board Appeal, and the deadline for each.”
Problem not getting fixed
Say: “I'd like to speak with the Patient Advocate and file a formal complaint.”
Golden rules
Use VA Secure Messaging
Messages on VA.gov / My HealtheVet create a written record. Phone calls don't.
Log every call
Write down the date, time, name or agent ID, and what they promised.
Bring a buddy if you get anxious
A spouse or friend can help you remember what was said after appointments and exams.
Be honest, never exaggerate
Describe your worst days accurately. Honesty protects your claim.
